We are looking for organized, reliable individuals with excellent attention to detail to assist mental health therapy private practices all across the U.S. in an administrative support role. The main component of this position is using computer and customer service skills to schedule mental health clients. A secondary component is helping the mental health practice collect payments from insurance companies by verifying benefits and resolving billing errors. Other administrative duties vary by the needs of the client.

The assistant supports the private practice owners with a “How can I help you today?” attitude. This W2, hourly position allows you to work from home. All of the duties can be performed remotely with access to a computer, smartphone, and internet connection.

Schedule and Requirements
​
We are currently only hiring residents of . You would need to be available during normal business hours, Monday through Friday, in an environment where you can make and receive calls. We are hiring people who want to work between 30 and 35 hours a week. Virtual Assistants build a caseload over their first 4-8 weeks to reach 30-35 hours a week. The first week is training and orientation and you start out with 25 hours a week. In weeks one and two you will be assigned, 1-3 clients. Typically an assistant with 3 clients works 25 hours a week, 4 clients is 30 hours a week, and 5 clients is 35 hours a week.
Essential Functions

Utilizing the practice phone system for incoming/outgoing calls.

Scheduling/rescheduling client appointments working within the practice electronic medical record.

Performing intakes on new clients and using judgment to match with the therapist.

Assisting with billing functions, including but not limited to:

Verifying benefits
-
Posting of insurance payments
-
Performing follows up calls to insurance companies to assist with billing issues

Assist with practice marketing, including but not limited to:

Social media posting
-
Practice Newsletter
-
Researching for blog articles
-

Utilizing practice email for client and staff correspondence.

Other administrative duties as assigned by the client.
Qualifications
-
The ability to empathize with people going through a tough time.
-
The ability to build rapport quickly, but also to maintain professional boundaries.

Minimum of High School diploma, some college preferred.
-
Previous experience in the medical and/or mental health field in an outpatient setting required.

Call center experience a plus.

Minimum of two years experience in an administrative role.

High-speed internet access.

Quiet, designated home office space.

Midrange PC or MAC with current virus software.

Advanced knowledge of Microsoft Word and/or Google Docs.

Knowledge of smartphone applications.

Able to work 5 to 7 hours at a time with limited interruptions

Job Type
Part-time, W2 employment with no benefits. Hourly position, starts at $14/hour. There is a $25 stipend paid every 2-week pay period for the use of your own computer and phone.
